Service Coordinator Job Description

Required Education and Experience Summary: We are looking for an ambitious self-starter to schedule and dispatch workers, work crews, equipment, and service vehicles. Position requires ability to listen to customer problems and relay accurate information to field, triage problems and mine information from customers and disseminate to sales. Use computer to transmit assignments, trouble shoot problem systems, compile statistics and reports on work progress. HVAC experience and technical aptitude preferable. Two to five years previous work-related skill, knowledge, or experience is preferred. Completion of an internship, apprentice program, or several years of vocational training qualifies as experience.

 

Key Responsibilities: Schedule and dispatch workers, to appropriate locations according to customer requests, specifications, or needs, using telephones or e-mail

  • Relay work orders, messages, and information to and from field engineers using cell and e-mail
  • Confer with customers or supervising personnel in order to address questions, problems, and requests for service.
  • Prepare daily work schedules.
  • Monitor personnel locations and utilization in order to coordinate service and schedules.
  • Create and mail preventive maintenance letters
  • Record and maintain files and records of customer requests
  • Create material requisitions, rack material requisitions.
  • Call customers one week before scheduled visits to confirm.
  • Diagnose and correct problems from remote locations, using special switchboards to find the sources of problems.
  • Answer incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary.
  • Maintain general and truck stock parts inventory
  • Conducts service related follow-ups, and outbound customer contact according to company procedure
